Smart PAYMENT is the collections and payments application in the Smart SALES suite. The collector opens the customer's account, shows them their invoices and delivery notes, and takes payment in the agreed method. The accounting entry goes out at the same instant.

Payment collection

The account opens in front of the customer, and is settled straight away

Their invoices and delivery notes appear, amounts included. They check, they pay, the entry goes out.

The methods you open

The types and terms of collection are set in the back office. The collector offers only what you have authorised.

The payment is made against an identified document, shown on screen, and not against a balance quoted out loud.

The file handles customers and their sales points separately: you collect at the outlet where the goods were delivered, not at the head office that signed. One single entry, made where the money changes hands: fewer risks, fewer losses, fewer errors.

A receivable you cannot justify line by line gets argued over. A receivable shown on screen gets paid.

The collector arrives with a list printed the day before and a receipt book. The customer disputes an amount nobody can break down on the spot. The receipt is written by hand, the entry waits for the return to the office, and the unpaid invoice comes to light at the month-end close.

Smart PAYMENT moves the entry to where the payment happens. The document is presented, the method is entered, the amount goes out. Nobody waits for the end of the month to know what has come in.

Payment channels

Cash, cheque, draft, or mobile payment

You open the methods you accept, and you set their terms. The collector offers only those.

A payment is rarely refused for good reasons: it is refused because the customer has no cash on them, because the cheque book was left at the office, because a transfer means a round trip. Adding channels removes the reasons for waiting.

The transfer goes through a secure gateway connected to the financial institutions: the amount leaves the terminal and reaches the account, without passing through an envelope. Mobile payment completes the set-up — SYMATIQUE operates it in partnership with La Poste Tunisienne, and the fee is set at 0.500 dinar per transaction, whatever the amount.

What each channel changes

  • Cash — counted and recorded on the spot; the collection statement follows the round
  • Cheque and draft — entered with their terms, exactly as you have defined them
  • Bank transfer — through a secure gateway, connected to the financial institutions
  • Mobile payment — the customer enters their code on the collector's terminal, and the transaction settles there and then

The round

A collections round is prepared like a sales round

The accounts to visit are chosen in advance. The report closes with the collection statement.

Rounds are planned from the back office: which accounts, in what order, over what period. The collector finds theirs at start-up, and the sales points of a single customer are told apart — which avoids chasing head office for a sum owed by a branch.

At the end of the round, the report is generated with the collection statement: what was presented, what was paid, in which method, and what is still owed. That is the document that goes up, and it is not written from memory three days later.

None is compulsory. You start with the accounts and payment collection; the rest is added when it earns its place.

Collections is one module among twenty in Smart CRM, where the sales rep sells first and collects afterwards. Here it is the whole application: the file of accounts, the round, the payment methods, the collection statement and the books themselves. The collector has no other trade, and their application has no other subject.

The outstanding balance stops being an estimate

Transactions and receipts are read as they happen. The collections statements can be analysed.

The finance department no longer asks where collections stand: it reads them. Transactions and customer receipts are visible in real time, and the collections statements are analysed instead of being pieced back together.

Structuring the procedure lightens the workload: reminders cover what is genuinely owed, late payments are dealt with earlier, and cash flow feels it. Reporting to general management is automatic — it is no longer a Friday chore.

The foundations

An online application, and we own it

Smart PAYMENT is used online. That is the price of real time.

Unlike its sister applications, Smart PAYMENT does not work without a network. That is a choice, not a gap: a payment is confirmed the moment it is received, and a banking gateway does not sit in a queue. Collecting blind and synchronising in the evening would not have the same meaning as recording an order.

The interface is touch-based, adapted to the different screen sizes of smartphones and tablets. The operating platform is Android.

The application is connected to the Smart SALES back office: master data for the accounts, documents to collect, authorised payment methods, consolidation of receipts. It is through it that exchanges pass with your management system, which stays in place.

Mobile payment rests on a partnership with La Poste Tunisienne, and transfers on a gateway connected to the financial institutions. Both connections already exist: there is no banking integration to be built for you.
